Job Description

Our client is one of Australia’s largest suppliers of Workwear and Accessories to all sectors in Australia.  We are seeking an experienced Product Co-ordinator to ensure a seamless process for the Production Manager and Director in managing the processes from Product, through Sales and Production to Delivery.

Position ROLE:

To support and enhance the quality, development, and delivery of brands through effective coordination of indent orders, production processes, and supplier communication.

INDENT ORDERS:

Assist Sales Representatives with indent quotations by chasing and correcting required information to complete indent briefs accurately.
Modify and refine indent briefs to ensure clarity and completeness before submission to factories.
Send indent briefs to factories, follow up on responses in a timely manner, and negotiate pricing where required.
Submit factory quotations to the General Manager for pricing approval.
Upon receipt of customer orders, verify all details including pricing, quantities, and delivery dates to ensure accuracy.
Raise Purchase Orders (POs) and Order Requests (ORs) in the system. Once approved by the General Manager, issue POs to factories and update indent order status accordingly.
Follow up with factories for submissions and review submissions thoroughly prior to sending to customers.
Issue submissions to Sales Representatives or customers and follow up on feedback and approvals.
Monitor delivery timelines to ensure orders are shipped on schedule.
Prepare indent order inspection packages for overseas QA inspections.
Advise Sales Representatives of final shipped quantities and liaise with factories regarding any overages or shortages exceeding 5%.
Distribute weekly indent status reports to Sales Representatives and Management.
Liaise with Sales Representatives and factories regarding special delivery requirements.
Escalate and consult with the General Manager on bulk quality issues and provide recommendations to resolve problems.
Provide product recommendations to Sales Representatives regarding styling, fabrication, and functionality to suit customer requirements.

PRODUCTION AND LOGISTICS:

Arrange weekly parcel dispatches and review FedEx invoices to ensure charges are correct.
Obtain airfreight quotations when requested for customer orders (indent and stock).
Arrange freight pickups upon approval.
