Job Description
POSITION : Accounts Receivable Officer
REPORTS TO Senior Accountant
POSITION CRITICAL : Timely Debtor Collections while maintaining a Positive Customer Rapport
RESPONSIBILITIES
- Weekly Debtor reporting to the Senior Accountant.
- Processing Receipts (eg, Cheques, direct deposits, credit cards and Webstore Captures/Downloads)
- Timely collection of debtors within the Company’s trading terms – 30 days from the end of the month of the invoice date.
- Investigate and resolve escalated customer debtor disputes promptly.
- Major Customer account reconciliations.
- Ensure collection targets are reached for respective ledgers – DSO to be within a maximum of 45-55 days.
- Phone contact with all Customers of unpaid accounts by phone or email by the 10th of the month following the due date for payment, to ensure timely account collection and build Customer rapport.
- For efficiency, target Customers in the following order:
(a) Customers on hold
(b) Customers with account disputes/claims
(c) Customers who receive Final Demands consecutively
- Monitor Potential bad debts and advise the Senior Accountant on a timely basis.
- Management of “On Hold” Customers to ensure they are trading within the assigned or approved Credit limits.
- Process Credit Applications.
- Customer requests via email/phone etc are attended to promptly.
- Telephone calls are answered promptly – Internal/External.
- General administrative duties as required, including filing and scanning (to be kept up-to-date), and ensuring a neat workspace is maintained at all times.
- Ensure systems and procedures are adhered to.
- Any other accounts receivable responsibilities and duties that are assigned to you from time to time.
